AARP Foundation Tax-Aide Free Tax Preparation Privacy Policy & Terms and Conditions

The Hudson Valley CASH Coalition and its members including Community Action Partnership for Dutchess County, AARP Foundation Tax-Aide Program, United Way of Dutchess Orange Region, United Way 211 information and referral service, and  DaySmart operate online scheduling support for AARP Foundation Tax-Aide program that operates free tax preparation services in Dutchess Orange and Putnam Counties.

Privacy Policy

Our privacy policy explains how we handle the personally identifiable information (PII) that you provide to us when you make an appointment for tax preparation assistance through the Hudson Valley CASH Coalition including AARP Foundation Tax-Aide program.  PII includes information that is personal in nature, and which might be used to identify you. By using the free tax preparation assistance service, you agree to the collection and use of information in accordance with this Privacy Policy.

Information we may collect.

For the sole purposes of securing an appointment for free tax preparation service the following information will be collected

  •        Full Name
  •        Zip Code
  •        Email address
  •        Home and or Cell Phone number
  •        Request for translation support
  •        Service requested
  •        Relevant appointment notes

Privacy

All information collected, including email addresses and mobile numbers will not be shared with any third-party vendors.  Phone numbers and email addresses will be shared with registered volunteers and staff of the AARP Foundation Tax-Aide program, the Hudson Valley 211, and member agencies of the Hudson Valley CASH Coalition for the sole purpose of contacting you to make appointments for 

service, reminding you of upcoming appointments, or follow up regarding your tax return.

Disclosure of your Personal Data

Leaders of the AARP Foundation Tax-Aide program will generate daily appointment reports from the data collected on DaySmart that may contain some or all of the information listed above.  The purpose of these reports is to determine the daily tax preparation appointment schedule.  If these reports are printed, they will be shredded at the end of the daily sessions.  All electronic copies will be deleted at the end of the daily sessions.

Consent

Through the appointment scheduling process, customers will call the United Way helpline, 211 to request an appointment for free tax preparation assistance, they consent to the collection of above information to be used by DaySmart, Hudson Valley CASH Coalition, AARP Foundation Tax-Aide program and registered staff and volunteers associated with the delivery of requested service. Customers will be asked to provide their email address and cell phone number to receive messages reminding them of upcoming tax appointments.

Update Information

When customers contact United Way 211 or request a return call to make an appointment for tax preparation assistance, staff or volunteers will review with customers the information associated with their account.  Staff or volunteers will update data at the request of the customer.

Opt Out

If customers choose to opt out of receiving emails and SMS reminders of upcoming tax appointments, they can state their preference during the appointment scheduling process or follow instructions listed in email or SMS on how to opt out. Opting out of receiving emails or SMS messages will not affect the customer’s ability to receive service.

Terms and Conditions

Cost

There is no cost to customers to receive SMS messages or email reminders for scheduled free tax preparation appointments. However standard messaging rates may apply, and customers should contact their cellphone provider for more information.

Frequency

If customers have provided a valid email address, they will receive two email confirmations for each service they have secured.  The first email will be sent upon finalization of their appointment.  A second email reminder will be sent 5 days prior to their appointment.  If customers cancel their appointment, they will receive email confirmation of their cancellation.  If customers have provided a valid cell phone number, they will receive one SMS 72 hours prior to their scheduled appointment for each service they have made an appointment for.

Policy Updates

We reserve the right to modify or amend our Privacy Policy and Terms and Conditions at any time.  If there are changes to either policy they will be posted on our website prior to implementation of changes.
